🇩🇪 Germany Number Porting Guide

A guide to porting local and toll-free phone numbers in Germany to CloudTalk

This guide outlines the supported number types, required documentation, and key steps to ensure a smooth porting process for your German numbers.

Supported Number Types

  • Geographic (local) numbers

  • Toll-Free Numbers (+49800)

  • National Numbers (+4932)

⚠️ Mobile numbers (+49 15xx, 16x, 17x) are not portable.However, we can configure a Virtual Caller ID using your existing mobile number.


Required Documents for Number Porting

✅ Geographic (local) and National (non-geographic) numbers

    • Completed and signed by an authorized representative.

    • For businesses, a company stamp is mandatory.

    • The address on the LOA must match the address registered with your current provider.

  • Latest Invoice from your Current Provider:

    • Issued within the last 30 days.

    • Must clearly show your company name and the number(s) to be ported.

  • Proof of Business Registration in the locality of the number

    • For GmbH (Ltds): Handelsregisterauszug (Commercial Register Extract)

    • For sole proprietors, civil partnerships, tradespeople: A signed and stamped Gewa 1/2 form from the local authority, along with a color copy of the individual’s passport or national ID (front and back).

✅ Toll-free numbers

For German-based companies

  • Allocation Letter (Zuteilungsbescheid)

    • Official document from the Bundesnetzagentur confirming the original assignment of the toll-free number to your company.

  • Handelsregisterauszug (Commercial Register Extract)

  • VAT Number

    • required to verify your company’s tax identification

  • Latest Invoice from your Current Provider

    • Issued within the last 30 days.

    • Must clearly show your company name and the number(s) to be ported.

For non-German-based companies

  • Business registration in your main country of operation

  • ID of a legal company representative

    • a person listed as Geschäftsführer or Prokura on the business registration.

    • Alternatively, if another person is to be authorized, a letter of delegation must be provided by the company director or HR, along with the delegate’s ID.

  • Latest Invoice from your Current Provider

    • Issued within the last 30 days.

    • Must clearly show your company name and the number(s) to be ported.


What is a Handelsregisterauszug?

The Handelsregisterauszug, or Commercial Register Extract, is an official document issued by the German commercial register (Handelsregister) that contains key details about a registered company. It’s often required during number porting as proof of the company's legal existence and registered address.

How to Obtain a Handelsregisterauszug?

There are two main ways to get it:

  1. Online from the Official Portal

    • Search using your company name or registration number

    • Choose either "Current Extract" or "Chronological Extract" and download the PDF

  2. Request from Your Company’s Legal or Admin Department

    • If you're not the person handling legal registrations, your company’s legal or finance team likely already has a copy

    • It should be no older than 3 months to be accepted for porting

💡 When submitting the Handelsregisterauszug to the CloudTalk team, ensure it includes: company name, registered address, legal form (e.g., GmbH, AG), authorized representatives, registration number, and registration date.

⚠️ Porting timelines may be delayed if submitted information does not match your current provider's records.

Porting Process Overview

  1. Submit Your Porting Request
    Send your request to the CloudTalk Porting Team to begin the process.

  2. Initial Review
    Cloudtalk team'll verify number portability and confirm the next steps.

  3. Documentation Collection
    Complete and sign the LOA (Letter of Authorization), and provide a recent invoice from your current telecom provider.

  4. Submission to Carrier
    CloudTalk submits your request to our partner carrier, who then forwards it to your current provider.

  5. Approval or Rejection

    • If approved, Cloudtalk team will confirm the porting date (typically 2–4 business days in advance).

    • If rejected, Cloudtalk team will share the reason and guide you on how to correct and resubmit the request.

Common Rejection Reasons & How to Avoid Them

LOA submitted without a company stamp

Resubmit the LOA with your official company stamp.

Address on the LOA not matching provider’s records

Confirm the correct registered address with your current provider and update the LOA.

Missing/mismatched Allocation Letter (0800)

Provide a valid Allocation Letter from the telecom authority (e.g., Bundesnetzagentur).

Number is part of a block that can’t be ported individually

Check with your provider if the number range can be split or ported as a whole.

Number is currently deactivated or suspended

Request your provider to reactivate the number before submitting the porting request.

Invoice is older than 30 days

Provide a more recent invoice from your current telecom provider

What Happens on Porting Day

  • The number is activated in your CloudTalk account

  • Your former provider deactivates the number

  • CloudTalk billing begins the same day

  • We recommend notifying your previous provider to prevent duplicate charges
