This article explains the "A colleague is attempting to join your CloudTalk account" email notification: what triggers it, what it means for your account, and what action (if any) you need to take.

If you received an email with the subject "A colleague is attempting to join your CloudTalk account," your account is fine. This is a standard security notification, not an alert about a problem.

It means that someone with an email address at your company's domain (for example, @yourcompany.com) tried to create a brand-new CloudTalk account, and our system automatically blocked them from doing so, because your company's domain is already registered to your existing workspace.

No one was added to your account. No data was shared. No action is required unless you want to invite that person.

Why did I receive this email?

CloudTalk uses your company's email domain to identify your workspace. When someone tries to sign up for a new CloudTalk account using the same domain, our system:

  1. Detects that the domain is already linked to an active workspace.

  2. Blocks the new signup to prevent duplicate workspaces.

  3. Sends you (the account admin) a notification so you can decide whether to add that person to your team.

This is a security feature, not an error.

Does this mean my employees or contractors are connected to my account?

No. Receiving this notification does not mean anyone has been added to your account, and it does not mean your organization's other employees or contractors are linked to your CloudTalk workspace in any way.

The notification is triggered only when someone actively tries to sign up for a new CloudTalk account using your domain. People who have never attempted to sign up are completely unaffected.

What should I do?

If you recognize the person and want to add them to your team:

  1. Log in to your CloudTalk Dashboard.

  2. Go to Account > Users.

  3. Add them as a new user. See How to add new users for step-by-step instructions.

Note: Make sure your subscription has enough available seats before adding a new user. See How to change or cancel your subscription if you need to adjust your plan.

If you don't recognize the person, or don't want to add them: no action is needed. The person was already blocked from creating a duplicate workspace. You can safely ignore the email.

FAQs

  • Can the person who tried to sign up access my account?
    No. They were blocked from creating a new account and were not granted access to your existing workspace.

  • Will I keep receiving these emails?
    You'll receive one notification each time someone with your company domain attempts to sign up. If you manage a large organization with a shared email domain, you may receive these occasionally.

  • Can I turn off these notifications?
    At this time, domain-collision notifications are sent automatically to the account admin and cannot be disabled. If you have questions about your account setup, contact Support.

  • I'm trying to sign up but I'm told my domain is already in use.

    This means your company already has an active CloudTalk workspace. You won't be able to create a new one under the same email domain.

    To get access, ask your company's CloudTalk admin to invite you through Account > Users. See How to add new users for instructions. If you don't know who the admin is, check with your IT team or manager.

    If your company previously removed the domain from their CloudTalk account and you're still being blocked, contact Support so we can release the domain lock on our side.
