How to use Smart Rotation Caller ID

Spread outbound calls across your numbers to protect your caller reputation on high-volume campaigns.

Smart Rotation spreads your outbound calls across several of your numbers instead of always calling from the same one, helping protect your caller reputation on high-volume campaigns.

Smart Rotation is an outbound caller ID mode that spreads your calls across several of your numbers instead of always calling from the same one. Where Automatic Caller ID always picks the single best number for a destination, Smart Rotation deliberately cycles through your matching numbers, so no one number carries all your call volume. This helps protect your numbers from being flagged or tagged as spam by carriers, which is a common cause of dropping answer rates on high-volume outbound calling.

When to use Smart Rotation instead of Automatic

Both modes let CloudTalk choose the outbound number for you, but they optimise for different things:

  • Choose Automatic when local presence matters most, you want each call to show the number that best matches the destination's location.

  • Choose Smart Rotation when call volume matters most, you're making many calls to the same area and want to avoid a single number being over-used and flagged.

If you only have one number for a given destination, the two behave the same in practice, rotation needs multiple matching numbers to do anything.

How to enable Smart Rotation

  1. On the dialer screen, open the dropdown under "The number I'm using."

  2. Select Smart Rotation from the list.

Once enabled, CloudTalk chooses the outbound number for each call automatically, using the rotation logic below.

How the rotation works

  • Smart Rotation uses each of your assigned numbers only once per contact before repeating, cycling through all your numbers that match the destination country.

  • Once all matching numbers have been used, the rotation resets and selects one at random from the available pool.

  • If no number matches the destination country, CloudTalk selects one at random from all your assigned numbers.

Example

Say you have four numbers with the same area code and you're calling several contacts in that area:

  • Call 1 > number A

  • Call 2 > number B

  • Call 3 > number C

  • Call 4 > number D

  • Call 5 > the set is exhausted, so rotation resets and picks one of the four at random

The result is that your four numbers share the load evenly, rather than all five calls going out from number A.

Where Smart Rotation is available

Smart Rotation works in:

  • CloudTalk Desktop app

  • Browser app (phone.cloudtalk.io)

  • HubSpot CTI

  • Power Dialer campaigns

It is not available in the mobile app. (If you need automatic number selection on mobile, use Automatic Caller ID, which is supported there.)

Seeing which number was used

Once a call connects, the call bar shows the actual number CloudTalk selected for that call in international format (e.g. +1 646-693-3480), displayed below the "via Smart Rotation" label. This way your agents always know exactly which number the customer saw on their end.

The same applies to Automatic caller ID: the call bar shows the real number once the call is live, not just the word "Automatic."
